During lockdown we did COVID tracing on TimeDock - we could see where people’s vehicles were and when they were in and out of the shop.
Auckland's Marine & Industrial Engineering Ltd offers ship repair, maintenance, structural engineering, plant assembly and installation.
Managing director John Ashmore sought out TimeDock after looking at building a custom-made timesheet staff site tracking system to cover over 40 staff, plus contractors.
John found it easier to go with the Software-as-a-Service (Saas) rather than the bespoke software, and utilises two TimeTablets, with staff ID swipe cards plus the phone-based TimeDock app.
September 2013 we started our company; a Christchurch company were building a timesheet staff tracking program for us. I started looking around because it was way too expensive to have a custom-made program built for us. I found TimeDock, which was NZ-made, meaning I could actually ring up and talk to [founder] Le-Roy Staines.
You can export timesheet data straight to MYOB Payroll, which I like.
John's goal was to find a program which could ensure customers were correctly charged for the hours the guys worked, preventing overcharging or undercharging of labour hours to the customer.
If you fill out your timesheet late in the afternoon it didn't work. So we got the customers and everyone happy. We export timesheet data to a spreadsheet, then transfer data from Excel to payroll.
We sometimes have to bring contractors in too - and during lockdown we did COVID tracing so on TimeDock so we could see where people's vehicles were and when they were in and out of shop.
Not all staff have the app on their phone, but they all have access to it through their supervisor.
We have put 2000 jobs through TimeDock. We can go back very quickly and see how many hours clocked to any job and we can track these against quote sheets. Quote sheet can allocate hours and if we have 10000 hours budgeted we can see if we're on track or not.
We've never had to, but if we have to dispute an invoice, we could bring up the presentable charges - for example, in the Disputes Tribunal. We trust it enough to base the guys' pay on.
John said he's impressed with the functionality of TimeDock, and the value it adds to his business makes it a worthwile investment.
It works, it does what it promises and it's relatively cheap.
